HRS Project Readiness

We will use this web page to provide information on active projects being worked on by University of Wisconsin System Administration, such as project impacts, project-related communications, and end-user resources.

Background

With UW's Administration Transformation Program (ATP), Workday will be implemented as a replacement for the current PeopleSoft HRS on July 1, 2025. The scope of this project will cover decommissioning of HRS, EPM and OBIEE and archiving the necessary data.

Phased Approach

  • Decommissioning will be handled in multiple phases over the next 2 years:
    • Phase 1 (3/1/23 - 6/30/24): Slowing the introduction of changes to HRS, EPM and OBIEE. Critical maintenance and security updates will continue.
    • Phase 2 (7/1/24 - 6/30/25): Moving to a model where changes are frozen to reduce adverse impacts on other projects. Critical maintenance and security updates will continue.
    • Phase 3 (HRS/EPM: 7/1/25 - 4/29/26; OBIEE: 7/1/25 - 10/31/25): At ATP go-live, HRS will move into a support model with limited read only access. HRS data will be archived.
    • Phase 4: Manage the full shutdown of HRS/EPM (4/30/26), OBIEE (11/1/25) and Cypress* (4/30/27).
      • Data will be available through the new data archive.

  • Phase 1 - Slowdown (3/1/23 - 6/30/24)
    • Slow introduction of changes to HRS per strategy criteria; Continue critical maintenance and security related updates
    • Slowdown Criteria for HRS: Processing and updates to HRS will continue to occur during the slowdown phase as follows:

      • Routine operational processing
        • e.g., Payroll processing, data cleanup and DeptID updates
      • Maintenance / security related updates: PeopleTools, Regulatory, Tax updates, Items needed for break-fix
      • Projects that support UW Systemwide top priorities to be completed in 2023
      • Small to medium efforts with large, defined payback
      • Projects that prepare data, processes, or culture for easier transition to Workday to be completed in 2023
    • Processing and updates for HRS will NOT be completed and supported during the slowdown phase as follows:

      • Updates that impact Workday setup unless critical compliance or security risk
      • Add new values that would impact Workday configuration
        • Critical requests will be discussed with the ATP team and may be completed if all agree
      • Add new integrations or APIs
  • Phase 2 - Maintenance Freeze (7/1/24 - 6/30/25)
    • No changes to HRS unless critical item per strategy criteria; Continue critical maintenance and security related updates; Continue routine operational processing
  • Phase 3 - Support - Limited Access (7/1/25 - 4/29/26)
    • Employee Self Service shutdown; Core User shutdown; Restrict access to limited roles at ATP go live per strategy criteria; Continue critical security patches; Archive data at ATP go live; Minimal operational processing to complete FYE 2024; Shutdown HRS non-production environments per strategy
  • Phase 4 - Shutdown (4/30/26)
    • Shutdown HRS access; Shutdown app and web servers; Data is only available through archive to limited set of users
  • Phase 1 - Slowdown (3/1/23 - 6/30/24)
    • Slow introduction of changes to EPM per strategy criteria; Continue critical maintenance and security related updates
    • Processing and updates to EPM will continue to occur during the slowdown phase as follows:

      • Maintain existing batch processing, content and access accounts
      • Accept updated data and tables based on changes in HRS
      • Critical maintenance and security related updates
    • Processing and updates for EPM will NOT be completed and supported during the slowdown phase as follows:

      • Adding new models or merging new tables into existing models
      • New service accounts
  • Phase 2 - Maintenance Freeze (7/1/24 - 6/30/25)
    • No changes to EPM unless critical item per strategy criteria; Continue critical maintenance and security related updates; Maintain existing batch processing, content and access accounts
  • Phase 3 - Support - Limited Access (7/1/25 - 4/29/26)
    • Maintain existing content and security access until full shutdown; No batch processing once FYE 2024 completed in HRS; Continue critical security patches;Shutdown EPM non-production environments per strategy
  • Phase 4 - Shutdown (4/30/26)
    • Shutdown EPM access; Shutdown EPM database
  • Phase 1 - Slowdown (3/1/23 - 6/30/24)

    • Processing and updates to OBIEE will continue to occur during the slowdown phase as follows:

      • Security patching
      • HRS Content
        • Maintain and update existing dashboards
      • Campus Content (student data)
    • Processing and updates for OBIEE will NOT be completed and supported during the slowdown phase as follows:

      • Creating new dashboards/reports
  • Phase 2 - Maintenance Freeze (7/1/24 - 6/30/25)
    • No changes to EPM unless critical item per strategy criteria; Continue critical maintenance and security related updates; Maintain existing batch processing, content and access accounts
  • Phase 3 - Support - Limited View Access (7/1/25 - 10/31/25)
    • Maintain existing content and security access until full shutdown; No batch processing once FYE 2024 completed in HRS; Continue critical security patches; Shutdown EPM non-production environments per strategy
  • Phase 4 - Shutdown (11/1/25)
    • Shutdown OBIEE
